4 amazing tips for your team to have productive meetings

Regular meetings are essential for improving team communication, setting goals and objectives, and achieving them more easily. Therefore, it's important for managers to find ways to ensure productive and efficient meetings that generate positive business results.

There are some practices that, besides being easy to implement in your company's routine, are essential for improving the quality of corporate meetings. Want to know what they are? Check them out below!

1. Apply agile methods

Agile methodologies, such as Scrum and Kanban, are excellent allies in conducting more efficient meetings and increasing team productivity. This is because they focus on small parts of the project, ensuring that each part is validated before moving forward, until the project as a whole is completed.

To achieve this, weekly planning and regular team meetings are required. These meetings have well-established rules, depending on the method being used.

In the case of Scrum, for example, daily meetings are held (Daily Scrum), which have a predetermined duration. In these meetings, the team discusses everything that was done the previous day to achieve the defined goal.

Furthermore, the Scrum method can be complemented by Kanban, which facilitates the visualization of tasks being developed by each team member on an agile board, where each task is identified by a sticker. This gives team members a better overview of the overall project performance, facilitating interaction and enabling productive meetings.

2. Make a plan

A lack of planning can cause corporate meetings to be hampered by distractions and lose their main focus. As a result, the team fails to work towards established goals or to discuss and seek solutions to problems related to corporate projects. Consequently, the team wastes time and does not get the most out of the meeting.

Therefore, it is important to do adequate planning, which includes:

  • define a clear objective that justifies holding the meeting;
  • choose which team members will participate, according to the defined objective;
  • set a time for the meeting to start and its duration;
  • create rules to avoid distractions during the meeting and warn about the importance of avoiding delays.

3. Have good leadership that encourages interaction

The leader plays a very important role, as they are primarily responsible for ensuring the smooth running of corporate meetings. Therefore, it is essential that they are able to stimulate interaction among members, in order to encourage the emergence of new ideas and the making of sound decisions.

For everything to go smoothly, the leader must know all the participants well and how each of them can contribute to the meeting. Furthermore, they must be prepared to resolve any impasses or disagreements.

4. Analyze different perspectives

To solve problems and make the right decisions, it's necessary to consider all perspectives on the topics discussed during meetings. Therefore, it's important to provide an opportunity for all participants to offer suggestions, share their ideas, and make complaints and observations.

By considering all points of view, it is much more likely that no errors will go unnoticed and that no unforeseen issues will occur when implementing the solutions defined in the meeting.

As you've seen, there are several ways to improve corporate meetings and ensure their success. Now, simply adopt these practices to have productive meetings that further contribute to your company's success.
